ChatGPT could be a game-changer for individuals and businesses looking to enhance efficiency and productivity. As a powerful language model developed by OpenAI, ChatGPT has the potential to revolutionize the way individuals, teams and you work and collaborate.

In this article, we will explore the many possibilities of using ChatGPT and AI in project management. If you are looking for ways to optimize your project management, read on to discover the benefits of incorporating ChatGPT into your workflow.

1. Brainstorm ideas for workshops and meetings

“Give me 10 creative ideas to start a workshop”

“Give me 10 creative ideas to start a project kick-off“

If you are trying to impress your clients or colleagues at a meeting, why not ask ChatGPT to brainstorm some innovative ideas to start a workshop or a project kick-off?

2. Create market reports

“Please act as a business consultant and generate a report on the current state of the e-commerce market for bicycles and provide insights on potential growth opportunities for our business. Structure these findings in 5 power point charts including action titles and three bullets per slide.”

You want to convince your boss of a new business opportunity, a strategic move or you are looking for an opener for your project? Why not create a short market report. I highly recommend checking any numbers, so you can name a reliable data source. Btw. You can make the tool act as somebody, e.g., a business consultant, and get corresponding answers.

3. Identify basics for a new project

“What are the 10 major KPIs for the automotive industry?”

“Write a list of the top 10 automotive brands according to how many cars they have sold and revenue. Please put it into a table.”

“Write a list of the top 10 Chinese automotive brands”

If you are entering a new industry or a new department, it is always good to know, what is important for them and talking in their language. Besides getting a market report, you can ask for specific industry knowledge, like common KPIs or competitor lists. In addition, this knowledge can save you from asking stupid questions in a meeting, revealing you as newbie.

4. Brainstorm actual project tasks

“Brainstorm 10 innovative and creative ideas to cut logistic costs at a retail company”

“What measures have retail companies undertaken in the last 5 years, to cut costs?”

„Name 10 Project management tools, which have good ratings and customer feedback. Add their homepage and put into a table“

If you got a task from your boss and do not know, where to start, why not ask ChatGPT (or google it)? Even if 9 out of 10 ideas are not suitable for your company, there will still be this one idea, which only took you a minute to research. In addition, you can always ask the AI tool to come up with further ideas and use them as a starting point for your further research on specific topics.

5. Manage project risks

“Please answer as a business consultant: In my projects steering committee the stakeholders never make any decisions. Do you have any solutions?”

Imagine you are a project manager and have a project risk, you do not know how to handle. Why not get some solutions from an AI tool? AS the project manager, you will still have to analyse the problem and identify the suitable solution. But the tool can help you, in case you get stuck with project management issues and project risks!

6. Create an agenda for a Steering committee and other meetings

“How does the agenda for a project steering committee look like?”

As this might be basic project management skills for some people, this can be gold for a junior consultant, a junior project manager or somebody new to the world of project management. This prompt can give you a general idea of an agenda to many meetings, you may have never participated in.

7. Translate text into another language

“Translate the article into German”

ChatGPT can be used to translate your documents and text. This will save you time if you are communicating to stakeholders in different languages. Although ChatGPT can translate, I prefer Deepl.com as it can translate whole MS PowerPoint presentations into different languages. This makes it even easier and saves even more time.

8. Generate pre-written E-Mails

“Can you please write a friendly but formal E-Mail to my co-workers, inviting them to our project kick-off. Date: 13th of March 2023. Time: 2–4pm. Location: Great Hall.”

While you might prefer to write these by yourself, it is a pain for many. ChatGPT can be used to generate your personalized email templates. This can save you time and improve your communication skills with clients and stakeholders.
